Creating and Submitting an Offer

This page walks through the complete offer creation process — from opening the offer form to submitting your price to the traveler.


Prerequisites

Before you can create an offer, check that all of the following are true:

  • Your account is approved (not pending)
  • Your quote currency is set in Preferences
  • Your local currency is set in Preferences
  • The flight request is still active (not expired or cancelled)
  • You have published your Operator Terms and Cancellation Policy (required to submit — you can draft without them)

If currencies are missing, you will see a prompt when opening the offer form. Resolve them in Preferences first, then return to the flight request.

Opening the Offer Form

  1. Go to Flight Requests in the sidebar
  2. Find the request you want to respond to in the Active tab
  3. Tap or click the request card to open the detail view
  4. Tap Create Offer

If you already have a draft offer for this request, tapping Create Offer will take you to that existing draft rather than creating a new one.


The Offer Form — Step by Step

The offer form is organised into sections. Complete each section in order.

Leg Details

For each leg of the itinerary, you must provide exact flight details.

Operators must always use exact airport selections — not city-level. If the traveler's request shows a city name (e.g. "Casablanca"), select the specific airport you will use (e.g. CMN — Mohammed V International). The traveler accepts city-level flexibility; you commit to a specific airport.

For Round Trip requests, you fill in leg details for both the outbound and return leg.

For Multi-City requests, you fill in details for each leg individually.

Pricing

Enter a single total price for the entire trip.

You do not enter per-seat prices. The system calculates per-seat pricing automatically for Book Seat (pooling) trips.

FX conversion: The equivalent amount in your local currency is calculated and locked automatically at the moment you create the offer. You do not enter or see this exchange rate — it is handled by the system.

Aircraft

Select the aircraft you plan to operate this trip.

  • The list shows your registered fleet
  • Select the relevant aircraft

This field is optional to save a draft or submit, but travelers see the aircraft type when reviewing your offer. An offer with a named aircraft gives travelers more confidence than one without.

Offer Validity

Set the date until which your offer price is valid.

After this date, if the traveler has not accepted, your offer expires automatically. Expired offers move out of the traveler's view and out of your Active offers list.

Set a validity window that gives travelers enough time to decide while protecting you from holding a price open indefinitely.

Operator Terms

Before you can submit (not just save a draft), you must have published your Operator Terms and Cancellation Policy.

If your terms are not yet published:

  1. Go to the Operator Terms section in your panel
  2. Write and publish your terms and cancellation policy
  3. Return to the offer form and submit

You can save a draft offer without having terms published — you just cannot submit it to the traveler until terms are in place.


Saving vs Submitting

The offer form has two actions:

Save DraftSaves your progress. The traveler is not notified. You can return and edit the draft later.
SubmitSends the offer to the traveler. The traveler receives a notification immediately.

Use Save Draft when:

  • You need to verify availability or check pricing before committing
  • You want to prepare the offer and submit later in the day
  • You are waiting for your terms to be published

Use Submit when your offer is final and ready for the traveler to review.

Once submitted, an offer cannot be edited. If you need to change anything after submitting, you must withdraw the offer and create a new one. See Managing Offers.


After Submitting

Once you submit an offer:

  • The offer appears in My Offers with Submitted status
  • The flight request status updates to Responded
  • The traveler receives a notification that an offer is available
  • The traveler can open your offer, compare it with others, and accept or decline

You do not need to take any further action until you receive a notification about the traveler's decision.


If the Traveler Accepts Your Offer

When a traveler accepts your offer:

  • A confirmed trip is created automatically
  • Bookings are issued to all travelers on the trip
  • The trip appears in your Confirmed Departures
  • You receive a notification

Common Issues

"Configure currencies in Preferences" prompt when opening Create Offer Your quote currency or local currency (or both) is not set. Go to Preferences → set both currency fields → return to the flight request.

Create Offer button is not visible The request may have expired or been cancelled. Check the request status. If the request is still active and the button is missing, contact the jet4us support team.

Cannot submit — terms prompt is shown You have not yet published your Operator Terms and Cancellation Policy. Complete and publish your terms first, then return to submit the offer.
