Confirmed Trips and Departures

Once a traveler accepts your offer, a confirmed trip is created and your operational workflow begins. This page covers everything you need to manage confirmed departures from start to finish.


Accessing Confirmed Departures

Open Confirmed Departures from the sidebar.

This section shows every trip where your offer was accepted and a confirmed trip record was created. Each entry represents a real, operational departure that you are committed to operating.


What the Confirmed Departures List Shows

Each departure card shows:

  • Route: origin → destination (or full multi-city itinerary summary)
  • Departure date: the scheduled date of the first leg
  • Aircraft: the aircraft assigned to this departure (if set on your offer)
  • Passengers: total number of travelers with bookings on this trip
  • Payment status summary: an overview of how many bookings are confirmed vs pending

Opening a Confirmed Departure

Tap or click a departure to open the full detail view.

The detail view contains:

Flight itinerary

All legs of the trip with confirmed dates, times, and airports. This is the definitive operational schedule created from your accepted offer.

Passenger manifest

A list of all travelers with bookings on this departure, showing:

  • Traveler name (once the traveler has provided their passenger details)
  • Seat count
  • Booking status

Payment status per booking

Each booking on the departure has its own payment status. See the section below for a full explanation.


Understanding Booking Statuses

Payment Under ReviewThe traveler has uploaded payment proof — it needs your reviewReview and approve or reject the proof

Most of your active work in this section will be reviewing payment proof and moving bookings from Payment Under Review to Confirmed.


Reviewing Payment Proof

When a traveler uploads payment proof (a transfer receipt or screenshot), you receive a notification via the notification bell.

Steps to review payment proof

  1. Open the relevant departure from Confirmed Departures
  2. Find the booking showing Payment Under Review status
  3. Tap or click into that booking
  4. View the attached proof — examine the transfer details, amount, and reference
  5. Choose an action:

ApproveBooking status changes to Confirmed. Traveler receives a confirmation notification.
RejectBooking returns to Awaiting Payment. Traveler is notified and must resubmit.
tip

When rejecting a payment proof, include a clear reason in the rejection note. For example: "Amount does not match the quoted price" or "Transfer reference is not visible in the screenshot." This helps the traveler correct and resubmit quickly.


Sending Payment Reminders

If a traveler's booking has been in Awaiting Payment status for longer than expected, you can send a reminder directly from the booking detail.

  1. Open the departure
  2. Open the booking with Awaiting Payment status
  3. Tap Send Reminder

The traveler receives a notification prompting them to complete their payment and upload proof.


Passenger Details

Once travelers fill in their passenger information (names and seat allocations), the details appear in the manifest within the departure detail view.

Use this information for:

  • Flight manifest preparation
  • Ground handling coordination
  • Regulatory passenger documentation requirements

If passenger details are missing from a booking, the traveler has not yet submitted them. You can follow up via the chat feature.


Chat from a Confirmed Departure

Each confirmed departure gives you access to two types of conversation:

  • Trip Group Chat: a shared chat with all travelers booked on this departure. Use for general announcements, schedule updates, or pre-flight coordination.
  • Traveler Direct Chat: a one-on-one chat with a specific traveler on this departure. Use for individual payment follow-up or personal requests.

Trip and Booking Status Reference

Trip status
